Four costs, not one

An institute that knows only its cost per enquiry cannot tell a cheap campaign from an expensive one, because the gap between an enquiry and an admission is where almost all the money is.

  1. Cost per enquiry. Easy to measure and easy to improve by lowering quality. Halving it while halving the conversion rate is a popular way to report a win that costs money.
  2. Cost per contact. What it costs to actually speak to a human being. This is where an uncalled list shows up: an enquiry you never reached cost you its acquisition price and returned nothing.
  3. Cost per booked visit or demo. The best leading indicator in education, because it is the last step before a decision and it happens weeks before the admission does.
  4. Cost per admission. The number that matters. Everything above is diagnostic.

Track the first and the last and you will know whether you had a good season. Track all four and you will know why.

Pricing the Same List Three Ways

The same three thousand numbers can be worked in-house, by a telecalling vendor, or by managed AI calling. These are priced on completely different units, which is what makes the quotes incomparable until you convert them.

The question to askHow many attempts can we actually sustain in peak week?Is the quote per number listed or per attempt made?Is it billed per second or rounded to the minute?

That last row is the whole comparison. A vendor quoting per number and one quoting per attempt are not quoting the same job, and a minute-rounded rate and a per-second rate are not the same price even when the number is identical.

Why the billing unit matters more in education than elsewhere

Admission calls are short. A great many end inside a minute — already admitted, call after the result, wrong number, not this year. Billed to the nearest minute, a 40-second call costs the same as a 60-second one, which is a 50% premium on exactly the calls you make most of.

Across a season of several thousand attempts that is not a rounding detail, it is a line item. Our guide to comparing AI calling rates sets out the seven ways quotes differ; this is the one that affects education budgets hardest.

Five Questions Before Approving a Budget

Ask these of any proposal, including ours.

1

What exactly is the unit?

Per number, per attempt, per connected minute, per second, per lead, per seat. Get it in writing before comparing anything.

2

How many attempts are included?

A price for one pass at a list and a price for three attempts at it are different products with the same description.

3

What is excluded?

Setup, script changes, the phone line, reporting, a minimum commitment. The excluded items are where quotes diverge most.

4

What will you report?

If the answer is calls made and connect rate, that is activity. Ask for booked visits or demos, and for admissions attributable to the list.

5

What happens to our data?

Admission lists contain minors’ names and parents’ numbers. Ask where it is stored, who can see it, and what happens when the campaign ends.

6

Can we start small?

One list, one measurable outcome, a few weeks. Anyone who needs a season-long commitment before you have seen a result is asking you to take the risk.

Education Marketing Costs: Questions

What does AI calling cost for an education institute?
Fully managed AI calling runs at roughly ₹10 to ₹12 a minute before GST, billed per second rather than rounded to the minute. What it costs per admission depends on your list and conversion rate, not on the rate card. Current rates are on the pricing page.
Why do you keep distinguishing cost per enquiry from cost per admission?
Because cost per enquiry is easy to improve by lowering quality. An agency can halve it and halve your conversion rate at the same time, report a win, and leave you paying more per admission than before.
How do I compare an agency quote with a calling quote?
You mostly do not — they buy different things. An agency quote buys enquiries; a calling quote buys conversations with enquiries you already have. Compare agency with agency, and compare calling against your in-house hours and a telecalling vendor.
What is a reasonable budget for a Mumbai institute?
There is no honest single answer, because it depends on your intake target, your catchment and your conversion rate. The useful exercise is to work backwards: how many admissions do you need, at what conversion rate, which gives the number of conversations required.
Is per-second billing really that different?
For education, yes. Admission calls are short, and a 40-second call billed as a minute carries a 50% premium. Across several thousand attempts in a season it stops being a rounding detail.
Should we pay per lead?
Be careful with it. Per-lead pricing creates an incentive to produce leads rather than admissions, and the definition of a qualifying lead is where the disagreements happen. If you do use it, define the qualifying criteria in writing first.
What should a vendor report to us?
Booked visits or demos, and admissions attributable to the list. Calls made and connect rates are useful for diagnosing a campaign but they are not results, and a report containing only those is reporting effort.
Can we start with a small budget?
Yes, and you should. One list, one measurable outcome, a few weeks, then count. Any proposal that requires a season-long commitment before you have seen a result is asking you to carry the risk.
Does calling our old enquiry list cost anything to acquire?
No — you already own it, which is why it usually produces the lowest cost per admission of any list an institute has. The only cost is working it.
Do you charge for the script and setup?
The campaign is managed, which includes writing the script with your team and revising it after the first batch of calls. Ask us for the specifics for your list size rather than taking a number off a page.
